Who we are
Iris Plumbing Services Ltd is a family-run plumbing business based in Norwich, Norfolk, United Kingdom. We are the controller of the personal information described in this policy. You can contact us about your information at info@irisplumbingservices.co.uk or on 07563 467154.
Information we collect
When you send an enquiry we receive your name, phone number, email address, postcode, the service you need and your message. When you request an appointment we also receive your preferred day and time and the details of the job. If you buy an Iris Care plan we receive your billing name and address, email address and phone number. Your card is handled by Stripe and we never see your full card number. If you call, email, WhatsApp or Messenger us, we receive your contact details and anything you send us, such as photos of the job. When you visit this website, our server records technical information such as your IP address and browser type to keep the site secure.
How we use it and why
We use your information to reply to your enquiry and give you a quote, because you asked us to. We use it to book, carry out and invoice work and to run your Iris Care plan, because we need to in order to do the work you have agreed with us. We keep accounts and tax records because the law requires it. We use technical information to protect the website from misuse and keep it working, which is in our legitimate interests. We only send occasional service updates by email if you ticked the box to receive them, and only use the Meta Pixel if you accept marketing cookies. Both rely on your consent.
Advertising (Meta)
If you accept marketing cookies, this website uses the Meta Pixel to tell Meta which pages you visit, when you tap our phone or WhatsApp links and when you send an enquiry or booking form, so we can measure and target our Facebook and Instagram adverts. We rely on your consent for this and you can withdraw it at any time with the "Marketing cookies" button. Meta handles this data under its own privacy policy. See our Cookie Policy for details. If you message us on WhatsApp or Messenger, Meta also processes those chats under its own terms.
Who we share it with
We do not sell your information. We only share it with the services we need to run the business: our website hosting and email providers, Stripe for card payments, Meta when you message us on WhatsApp or Messenger or accept marketing cookies, our accountant, and HMRC or other authorities when the law requires it. If a job needs another trade, we will only pass on your details with your agreement.
Transfers outside the UK
Some of these providers, such as Stripe and Meta, may process information outside the UK. Where they do, they use safeguards recognised under UK data protection law, such as UK adequacy regulations or the UK International Data Transfer Agreement.
How long we keep it
Enquiries and appointment requests that do not lead to work are kept for up to 12 months. Customer, job and invoice records are kept for 6 years after the end of the financial year they relate to, as required for tax. Iris Care plan records are kept for the life of the plan and 6 years after it ends. If you asked for email updates, we keep your email address for that until you unsubscribe. Website security logs are kept for a short period only. Your cookie choice is stored in your own browser for 180 days.
Keeping it secure
This website uses an encrypted (HTTPS) connection. Access to enquiries and bookings is limited to the people who need it, and we keep the website software up to date and backed up.
Your rights
Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, ask us to limit or stop using it, object to how we use it, and ask for it in a portable format. Where we rely on your consent, you can withdraw it at any time, for example with the "Marketing cookies" button or by unsubscribing from our emails. Email info@irisplumbingservices.co.uk and we will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We will update this page if the way we use your information changes. The date at the bottom shows when it was last updated.
